Job Profile
Handling of vessel – as per distribution list.
Documentation – checking, verifying, and uploading on Company’s software database,
Processing Flag documents for respective ranks of Officer/Crew prior crew embarkation
Follow up on Full term documentation and updating vessels/company records on time.
Company Documentation – Sending all Company’s forms to Officer/Crew to complete and update along with their certification copies.
PEME – To send Officer/Crew to Doctor for PEME (Pre-Employment Medicals) for various Flags as per Company’s requirement.
Visa – To process visas for Officers/Crew/Supdt.as per requirement.
Hotel – Hotel booking for Officers for embarking / disembarking.
Travel – Domestic flight arrangement for Officer, International flight arrangement for Officers/Crew/Supdt. embarkation/disembarkation
Agents – To liaise with various port agents for crew embarkation/disembarkation (arranging LOI, LOG, Visa on arrival, OKTB, exit visa,
hotel arrangements).
DG Shipping – Form I – To sign on and sign off – all officers/crew embarkation/disembarkation within the time frame specified by DG.
Pre-Joining Formalities – To prepare and complete all pre joining formalities for officer/crew with (SEA, Declaration, Grievance Redressal,
Services Terms and Conditions, Company’s briefing of Policies as per SMS, Form I, E ticket, LOG, OKTB, Company’s
Immigration letter, various arrangement for Transit visa documentation), Issuance of PPE to all Officers/Crew.
Audits/Inspection – To ensure documentation always updated for any audit/inspections in Company’s software database system.
PNI – to liaise with PNI for Opening of new cases till final closure, to maintain complete file for any PNI case from ship – maintaining,
individual records for the full case,
Dispensation – To follow up with flag for applying and final closure.
Wages – To approve Travel expense for all new on-signers on the vessel and ensure same reflected in monthly payroll.
Overtime sheets for all vessels to cross check after Supdt. / Master’s approval.
Month end wages for all assigned vessel to check, amend and approve for release of salary to Head Office.
Master’s Cash account with all supporting to check, approve and sent to Head Office.
CTM – Arranging Cash to Master (CTM) for all assigned vessels on monthly basis at various ports.
Invoicing – All invoicing related to crew change from agents / Hotels / Visa / Ticketing / Doctors Invoicing to be approved and sent
To Head office. All PPE details for issuance to be shared with Purchase Dept for accounting.
Letters – Sea Service Letter for renewal of COC, GMDSS, DCE, CDC, Crew watchkeeping certification, SID, Letters for various visa processing.
SWF – Records for SWF for all assigned vessels to be maintained on monthly basis for quarterly payments for every crew member.
Emails – To respond Emails from ships on time pertaining to all crew related matters.
Follow up – To closely monitor and follow up on all disembarked crew and crew ready for rejoining to ensure their proper planning.
To work as a team player and always assist the team.
Candidate to be ready to work at odd hours view vessels operating requirements, should be a pro-active candidate.
